Restoration & large-loss invoice review
Large-loss invoices, reviewed before the insurer’s auditor ever sees them.
On a large commercial loss, remediation and reconstruction run on time & materials, the monthly invoices run to thousands of pages, and the building consultant on the other side challenges everything. Overtrace audits each package against what was signed in the field first — so what goes out is clean, documented & defensible.
The problem
Everything moves fast after a loss. The billing catches up a month later.
Equipment that never left the yard.
Dehus, desiccants, generators & excavators billed by the day — including days with no crew on site and machines bigger than the signed list.
Per diem, double-dipped.
Per diem for local employees, for classifications that aren’t eligible, for days with zero hours — and hotel bills with the bar tab still on them.
Every miss becomes a held dollar.
What the insurer’s auditor finds before you do sits unpaid, and the client you were brought in to protect is the one left waiting.
The solution
Submit a clean invoice the first time, with the backup already attached.
Equipment & hauling against the signed list
Machines billed on no-crew days, not on the countersigned equipment list, above the signed quantity, or at daily rates where a monthly rate applies.
Per diem & PPE rules
Counts above the field-signed headcount, ineligible classifications, local employees & zero-hour days — checked against your project’s own rules.
Field records as the golden standard
Choose which record wins when they disagree — the signed T&M, the contractor’s sheet, or the sign-in — and Overtrace audits to it consistently.
Built for thousands of pages
Packages are uploaded in resumable chunks, read page by page, and auto-bookmarked by document & work date — invoice, summary, each day, field package, receipts.
Ready for the auditor’s questions
Ask Overtrace “what will the auditor argue on this one?” and get the case for and against, grounded in the pages.

Questions
Common questions.
Who is Overtrace for in restoration?
Restoration and program-management firms that audit their trades’ T&M before billing the owner; owners and their representatives; and the building consultants and auditors who review large-loss invoices on behalf of insurers. Each side uses the same evidence, which is what makes the result easy to agree on.
What are the most common errors in restoration T&M invoices?
In our experience: hours billed above the field-signed T&M, labor rates or classifications above the contract, equipment billed on days with no crew or above the signed list, per diem billed to ineligible or local employees, materials without receipts or above the receipt, and summary math that doesn’t foot.
Can it read handwritten timesheets and scanned receipts?
Yes. Typed billing sheets are parsed directly; scanned pages, handwritten sign-in sheets and photographed receipts are read by AI vision. Names are matched even when they’re misspelled, reversed or abbreviated. Any finding that depends on handwriting is marked medium confidence, and hard-to-read pages are listed so a person can look.
Does it help with insurer audits and reimbursement?
That’s the point of auditing first. A package that has already been checked line by line — with every adjustment documented and every remaining charge traced to signed backup — leaves the outside auditor less to challenge, and makes what’s left easier to resolve.
How is Overtrace priced?
As a small percentage of the T&M value audited — well below what recovery-audit firms typically charge — billed monthly for active projects, with no annual commitment. Many teams carry it as a cost of the work. Every engagement starts with a pilot on real invoices.
