Contract rate compliance

Billed at the rate you agreed to, or flagged with the clause that says so.

The most common error in contractor billing is the simplest: the wrong rate. Overtrace reads the contract, extracts the rate schedule and billing terms with their exact wording, and checks every billed line against them — labor, equipment, hauling, per diem, PPE & markups.

The problem

The rate sheet is agreed once and checked from memory.

  • Rates that creep.

A few dollars an hour above the schedule, on every laborer, every day, adds up to the biggest line on the audit.

  • Monthly rates billed daily.

Long-term equipment is billed at day rates for a month because nobody checked whether a monthly rate was on file.

  • Markups on markups.

Tax marked up, PPE bought as material on top of a PPE rate, consumables billed as tools.

The solution

Your contract, turned into checks that run on every invoice.

  • Terms pulled from the contract

Each billing term is extracted with its exact quote and page. Nothing applies until you accept it.

  • Rate variance on every line

Labor, equipment, hauling, per diem & PPE rates are compared with the schedule, with the variance calculated for each line.

  • Findings that quote the contract

Each rate finding cites the clause — “Per contract: ‘…’ p.N” — so the trade can see the basis without asking.

  • Monthly-rate checks

Equipment & hauling billed hourly or daily where the monthly rate would have applied, and long-term equipment with no monthly rate on file.

  • Markup & tax rules

Material billed without its allowed markup, sales tax marked up, and purchases that shouldn’t have been billed at all.

Questions

Common questions.

Can Overtrace use our contract’s rates instead of an auditor’s?

Yes — the contract is the usual source. Overtrace extracts the rate schedule and terms from the contract PDF; if you also have a past outside audit, it can learn that auditor’s conventions too, and you choose which applies.

What if the contract rate itself is the argument?

Overtrace audits to the rates you agreed to. Whether an agreed rate is reasonable is a separate negotiation — but it’s a much easier one when every other number on the invoice is already right.

How do I know a finding is right?

Every finding shows the line that was billed next to the record that contradicts it, with the deciding number boxed on the page image — for example, billing detail p.144 checked against the signed T&M on p.51 — and names the rule that flagged it. Code does the matching and the math, so the same package always produces the same findings, and your decisions show which rules to trust, tune or automate.

How is Overtrace priced?

As a small percentage of the T&M value audited — well below what recovery-audit firms typically charge — billed monthly for active projects, with no annual commitment. Many teams carry it as a cost of the work. Every engagement starts with a pilot on real invoices.
