Construction invoice audit

Construction invoice audits your team can finish before the payment clock runs out.

Every project has T&M work — change orders, extra work tickets, emergency response. Overtrace audits each trade’s T&M billing against the tickets you signed, the rates in their contract & the receipts behind every material line, then hands you a contractor-ready list of exceptions, each one tied to its page.

The problem

T&M is where construction budgets leak, and where nobody has time to look.

  • The package arrives at month-end.

Hundreds of pages per trade, all due at once, and the clock on the payment terms starts the day it lands.

  • The contract terms live in a PDF nobody re-reads.

Allowed markups, rate schedules, per diem rules, monthly equipment rates — agreed once, then checked from memory.

  • Disputes go back as screenshots.

“See page 212, this doesn’t match page 88.” Assembled by hand, sent by email, and frequently sent back wrong again.

The solution

Hold every trade to what was signed in the field & agreed in the contract.

  • Contract terms, extracted with their quotes

Overtrace reads the subcontract and pulls each billing term with its exact wording and page. You accept, edit or ignore each one; accepted terms re-audit every invoice.

  • Every trade, every package

Upload each trade’s monthly PDF and Overtrace reconciles labor, equipment & materials against its own field paperwork and receipts.

  • Exceptions ranked by dollars

Findings are grouped by type and sorted by amount, so the biggest problems get your attention first.

  • A dispute letter that cites its pages

Overtrace drafts the letter back to the trade, with a workbook of every disputed item and an annotated PDF that highlights each one on its page.

  • Plain-English rules

“No per diem for local employees.” “Operators get no per diem on weekends.” Write it the way you’d say it, and it’s checked on every invoice after.

  • Everything that passed, too

A clean list of what was checked and came out right — the part of an audit nobody usually gets to see.

Questions

Common questions.

What does construction invoice audit software do?

It checks contractor and subcontractor billing against the project’s records: the contract’s rates & terms, signed field tickets, timesheets, equipment logs and receipts. Overtrace focuses on time-and-materials billing, where errors are most common, and cites every finding to the page it came from.

Does it replace our cost consultant or auditor?

It changes what they spend their time on. Overtrace does the line-by-line reconciliation; your people review the exceptions, make the calls, and send the result. Teams that already use an outside auditor can import past audits to compare results and teach Overtrace their conventions.

Can we use it on non-emergency projects?

Yes. Anywhere a trade bills time & materials — change orders, extra work, force account — Overtrace can audit the package against what was signed and agreed.

How do I know a finding is right?

Every finding shows the line that was billed next to the record that contradicts it, with the deciding number boxed on the page image — for example, billing detail p.144 checked against the signed T&M on p.51 — and names the rule that flagged it. Code does the matching and the math, so the same package always produces the same findings, and your decisions show which rules to trust, tune or automate.

How is Overtrace priced?

As a small percentage of the T&M value audited — well below what recovery-audit firms typically charge — billed monthly for active projects, with no annual commitment. Many teams carry it as a cost of the work. Every engagement starts with a pilot on real invoices.
