Rules engine
Rules that are exact where it counts, and smarter every month.
Every Overtrace check is a rule you can see. Code runs the rules that must be exact — hours, rates, extensions, totals — so results are predictable and repeatable. AI runs the ones that need judgement, like spotting an unallowable charge on a receipt. Write your own in plain English, or let Overtrace learn from your audit decisions and add rules automatically, so every audit is more accurate and more automated than the last.
The problem
Every project has rules. They usually live in one person’s head.
Policies that are explained, not enforced.
“You can’t bill breakfast, we pay per diem.” Said on day one, and checked by hand on every hotel bill after.
Software that needs a developer.
Tools that can be configured usually can’t be configured by the person who knows the rule.
AI that guesses at arithmetic.
Asking a chatbot to check 450 pages of labor rates gets you a confident answer, not a correct one.
The solution
Predictable where it must be, flexible where it needs to be, and learning all the time.
Code where it must be exact
Rates, hours, overtime, extensions & totals run as deterministic code, so the same package always gives the same answer.
AI where it takes judgement
Is this a hotel bill? Is that a tool or a consumable? AI makes the calls code can’t, and explains its reasoning.
Ready on day one
Built-in rules for the errors that turn up in T&M billing again and again: labor, rates, equipment, materials, per diem, math & documentation.
Your rules, in plain English
Type the rule — “operators get no per diem on weekends” — and Overtrace decides whether code or AI should check it, shows you what it will do, and re-checks the invoices it affects.
Rules learned from your decisions
As you dispute and substantiate, Overtrace learns your conventions and adds rules automatically — and proposes changes to any rule you keep overruling.
Every rule measured
See each rule’s share of the disputed dollars and how often you agree with it. Switch any rule on or off as a project needs.
Questions
Common questions.
Do I need to know how to code?
No. Rules are written in plain English. Overtrace decides how to check each one and shows you the result before it runs.
What’s the difference between a code rule and an AI rule?
Code rules are exact and repeatable — ideal for rates, hours and math across hundreds of pages. AI rules handle judgement that code can’t, like recognizing an unallowable charge on a receipt. Overtrace picks the right one for each rule, which is what makes the results both accurate and predictable.
Can Overtrace create rules on its own?
Yes — from your decisions. When a pattern repeats, such as the same kind of item disputed invoice after invoice, Overtrace adds a rule for it automatically, and it proposes changes to rules you keep overruling. Every learned rule is listed, so you can see, edit or switch off anything it learned.
Are our rules shared with other customers?
No. Customers never share anything. Only generic improvements that name no person, company or project ever become built-in rules.
